Summer Concert Series Community Partner Information

Levitt Pavilion Pasadena’s world-class concert series has built a loyal and diverse audience over the past 11 years in Pasadena’s Memorial Park. Last summer approximately 68,000 attendees enjoyed the intimate concerts under the stars, featuring talent from local emerging artists to GRAMMY-winners. We know how valuable community outreach is and we are happy to include fellow nonprofits in our 12th summer season at Pasadena’s Memorial Park.

Three to five FREE Community Partner booths will be available at every concert during the season. (Number of booths is dependent upon production allowances and are at the discretion of Levitt Pavilion Pasadena and may change without notice.)

What types of nonprofits are eligible to participate?

The Levitt Pavilion Pasadena is looking for nonprofit organizations that fall into at least one of the following categories:

Health & Wellness
Safety
Children
Youth
Arts/Music/Entertainment
Environmental
Social Causes
Social Services
Municipal/Government
Voter Registration/Political Participation (non-partisan)
Schools/Education/Literacy/Cultural

How do I apply?

Application and Approval Process The process for application has been revised. Please follow these steps and submit early so we can schedule your appearances.

Step 2: Phone Interview

Levitt Pavilion Pasadena staff will contact you to discuss proposed activities, scheduling, materials you must provide and other pertinent information. Partnership details will be reviewed and if approved you will be emailed a Community Partner Agreement along with the necessary submission documents and paperwork for approval by the City of Pasadena.

Step 3: Paperwork Submission

New this year, licensed Nonprofits do NOT need to apply for a Special Events Business License as long as they are NOT selling any products. If you are including food items in your program you become one of our vendors and must complete our vendor application which includes an application for a Special Events Business License and a Health Department Permit. Deadline for document submission to Levitt Pavilion Pasadena is May 23rd.

Rules and Regulations

If you are planning to vend, non-profit organizations are not required to secure a Business License from the City of Pasadena. A copy of their IRS paperwork showing their501(c)(c) status is sufficient.

If your organization wants to sell food, your organization must possess a City of Pasadena Food Vendors License, as well as a City of Pasadena Public Health License and other supplemental licenses.

Location

The Levitt Pavilion Pasadena band shell is located in Memorial Park, Pasadena, just two blocks north of Colorado Blvd. on Raymond Ave. The park is bordered by Walnut St. to the north, Raymond Ave. to the west, Holly St. to the south, and the Gold Line tracks to the East.

Arrival/Unloading

Community Partners must enter the park through the Senior Center parking lot (located on Holly St.).

Community Partners will be greeted by Levitt Pavilion Pasadena staff at the back of the parking lot and walked up to the vending area near the Bandshell to unload their equipment and supplies.

Community Partners cannot unload from Walnut Ave.

No cars are allowed to drive/be active in the park from 1.5 hours before the concert starts to at least 20 minutes after the concert is over.

Schedule and Timing

Set-up: Community Partners MUST COMPLETE set-up 1.5 hours before show time.* Community Partners are encouraged to show up 2 hours before show time to ensure they are completely set up when the festival starts (1.5 hours before music begins).

Take Down: Booths must be taken down no later than 9:30 p.m. on Wed./Sun. and 10:30 p.m. Thurs.-Sat.

Materials the Levitt Pavilion Pasadena provides

All community partners must reside in a booth. As a courtesy Levitt Pavilion Pasadena ia able to provide three booths free of charge on a first come first serve basis. If you organization already owns a conforming booth you are welcomed to use your own.

(1) 8 ft X 10 ft booth for your organization (assigned the day of the event). *10 x 10 require a $25 flat fee for the summer
(2) chairs for you and your staff
(1) table
If you have any extra staff we may be able to provide more chairs. You might consider bringing your own chairs just in case we cannot provide any more seating.

Materials you must provide

You must provide any other materials not listed above. This may include, but is not limited to:
Lighting (required) Duct tape, twists, other materials to affix your banner to your canopy and anything else not mentioned above.

Facebook: “Like” your organization’s page on Facebook, Post an announcement that your organization will be at the park, including a tag, the day you will be in attendance

Web: Post your organization’s logo and hyperlink on the Community Partner’s section of the Levitt Pavilion Pasadena’s Website , Include your organization in our weekly E-blast the week you will be at the park

Email: Include your organization in our weekly E-blast the week you will be at the park

On-Site (at the park): Post print literature at our Info Booth throughout the season, Provide you with our print literature for your space(s)

Cross Promotion (You will)

Facebook: “Like” the Levitt Pavilion Pasadena Facebook page, Post that you will be at the Levitt Pavilion Pasadena at the beginning of the season, *with tag of the Levitt Pavilion Pasadena, Post that you will be at the Levitt Pavilion Pasadena on the day that you will be in attendance

Web:Put our logo on your website as a Community Sponsor, including text about the Levitt and a link to our page, if possible.

Email: Announce in an email blast (if you do them) that you will be at the Levitt Pavilion Pasadena, including the dates you will be in attendance and the artists that are featured that night- once at the beginning of the summer season and once during the week you will be in attendance

On-Site (at the park): Post print literature at our Info Booth throughout the season, Provide you with our print literature for your space(s)
